Programme Terms and Conditions
Effective Date: 22/7/2026
These Terms and Conditions apply to all bookings for the IDAS Level 3 Certificate in Domestic Abuse Prevention and Early Intervention (the Programme).
Please read these Terms and Conditions carefully before making a booking. By booking a place on the Programme, you confirm that you have read, understood and accepted these Terms and Conditions.
Where an employer or other organisation books and pays for a learner, these Terms and Conditions apply to that organisation as the Customer and to the individual attending the Programme as the Learner.
1. Definitions
Throughout these Terms and Conditions, the following words have the meanings set out below.
IDAS means Independent Domestic Abuse Services, registered in England and Wales (Company Number 4984337), whose registered office is 39 Blossom Street, York, YO24 1AQ.
Programme means the Level 3 Certificate in Domestic Abuse Prevention and Early Intervention, including all teaching sessions, supervised study, learning materials, assessments and associated activities.
Customer means the individual or organisation purchasing a place on the Programme.
Learner means the individual enrolled on the Programme.
Awarding Organisation means OCN London.
Assessment means any assignment, workbook, professional discussion or other assessment required to achieve the qualification.
Programme Materials means all presentations, handbooks, learner workbooks, assessment materials, videos, online resources and any other materials supplied by IDAS.
Centre Lead means the person responsible for overseeing delivery of the Programme and making operational decisions where these Terms refer to the Centre Lead’s discretion.
2. Booking and Acceptance
2.1 A booking is confirmed only when IDAS has:
* received a completed booking form;
* accepted the booking; and
* received either full payment or the first agreed instalment.
2.2 Acceptance of a booking is subject to place availability.
2.3 IDAS reserves the right to refuse any booking where it reasonably believes the learner would be unable to meet the requirements of the Programme, or where accepting the booking would present a safeguarding, operational or legal concern.
2.4 The Customer is responsible for ensuring that all information provided during booking is complete and accurate.
2.5 If an employer or organisation books on behalf of a Learner, the employer remains responsible for payment of all fees, regardless of whether the Learner:
* withdraws;
* fails to attend;
* leaves employment;
* changes role; or
* is removed from the Programme under these Terms and Conditions.
2.6 Substitution of Learners – Where the Customer is an organisation, a request may be made to substitute the named Learner before the Programme begins. Any substitution is subject to IDAS approval and must be requested in writing. Once the Programme has commenced, substitutions will not normally be permitted.
3. Programme Fees and Payment
Full Payment
3.1 The Programme fee must be paid in full before the Programme commences.
Instalment Payments
3.2 IDAS may, at its discretion, offer payment by instalments.
3.3 Where an instalment plan is agreed:
* the first instalment secures the place;
* the remaining instalments must be paid by the dates shown in the Instalment Payment Agreement;
* all instalments must be paid no later than one calendar month before the Programme start date.
3.4 Failure to make any instalment by the agreed due date may result in:
* cancellation of the booking;
* the Programme place being offered to another applicant.
3.5 Any variation to an agreed payment schedule will only be made at the discretion of IDAS and must be confirmed in writing.
3.6 No Learner will be permitted to commence the Programme until all fees have been paid in full.
4. Cooling-off Period
4.1 Where the Customer purchases the Programme online or by distance means as a consumer, they may have a statutory right to cancel within 14 calendar days of making the booking.
4.2 This cooling-off period applies only where the Programme start date is more than 14 calendar days after the booking is made.
4.3 Where the Programme is due to begin within the statutory cooling-off period, the Customer agrees that the Programme may commence before the end of that period. Once the Programme has started, the statutory right to cancel may be reduced or lost in accordance with consumer legislation.
4.4 Any cancellation during the cooling-off period must be made in writing.
5. Cancellation Before the Programme Starts
5.1 Customers may cancel their booking by notifying IDAS in writing.
5.2 Where cancellation is received at least one calendar month before the published Programme start date, IDAS will refund all fees paid less a £75 administration fee.
5.3 The administration fee contributes towards the costs incurred in processing cancellations, updating programme records and offering the place to another applicant.
5.4 No refunds will be made where cancellation is received less than one calendar month before the Programme start date.
6. Transfers and Deferrals
6.1 Where a Customer can no longer attend the booked Programme, IDAS may, in exceptional circumstances and at its sole discretion, offer a transfer to a future cohort instead of a refund.
6.2 Any transfer is subject to:
* availability of places;
* the continued availability of the Programme;
* payment of a £75 administration fee.
6.3 A transfer is not automatic and must be agreed in writing by IDAS.
6.4 Learners may defer their place for a maximum period of two years from the original Programme start date.
6.5 After two years, any deferred place will expire unless otherwise agreed in exceptional circumstances.
6.6 IDAS reserves the right to require the Learner to join the next available cohort rather than a cohort of the Learner’s choosing.
6.7 Where qualification specifications, legislation or Programme content have substantially changed during the period of deferral, IDAS may require the Learner to complete additional learning before continuing.
7. Withdrawal After the Programme Has Started
7.1 Once the Programme has commenced, no refunds will be made.
7.2 Learners who withdraw from the Programme remain liable for the full Programme fee.
7.3 A Learner who withdraws may, at the discretion of IDAS, be offered a deferred place on a future Programme in accordance with Section 6.
7.4 Learners who repeatedly fail to engage with the Programme may be withdrawn by IDAS after reasonable attempts have been made to contact them.
Examples of non-engagement include, but are not limited to:
* repeated absence from scheduled sessions;
* failure to submit assessments;
* repeated failure to respond to reasonable communications from IDAS;
* failure to make satisfactory progress over an extended period.
7.5 Withdrawal under clause 7.4 does not entitle the Customer or Learner to any refund.
7.6 Where a Learner has already been registered with OCN London, withdrawal from the Programme does not automatically remove their registration with the Awarding Organisation. Any fees already paid by IDAS to OCN London in relation to the Learner’s registration are non-refundable and will not be refunded to the Customer or Learner.
8. Programme Delivery and Attendance
Programme Delivery
8.1 IDAS will use reasonable endeavours to deliver the Programme as advertised.
8.2 IDAS reserves the right to make reasonable changes where necessary, including but not limited to:
* changing tutors or facilitators;
* amending teaching methods;
* altering session content to reflect changes in legislation, guidance or best practice;
* changing venues;
* changing dates or times;
* delivering sessions online where this is considered appropriate.
8.3 Where significant changes are required, IDAS will give as much notice as reasonably possible.
8.4 If circumstances beyond the reasonable control of IDAS prevent delivery of the Programme as planned, IDAS may postpone, reschedule or amend delivery arrangements.
Attendance
8.5 Attendance at all scheduled live learning sessions is an essential requirement of the Programme.
8.6 Learners are expected to arrive on time, participate fully and remain for the duration of each session. Any exception must be agreed in advance with IDAS and will normally only be permitted in exceptional circumstances.
8.7 If a Learner is unable to attend a scheduled session, they must notify IDAS as soon as reasonably practicable.
8.8 Where a session is missed, IDAS may, at its discretion and subject to availability, offer the Learner the opportunity to attend the equivalent session with a future cohort.
8.9 The Programme cannot normally be completed until all required teaching sessions have been attended.
8.10 Repeated absence or poor attendance may result in withdrawal from the Programme in accordance with Section 7.
8.11 Learners are responsible for arranging any travel, accommodation and associated costs required to attend the Programme.
Recording of Sessions
8.12 To protect the privacy, confidentiality and wellbeing of everyone participating, IDAS does not routinely record live teaching sessions.
8.13 Learners must not:
* record any session;
* take screenshots or screen recordings;
* photograph presentation materials where this would capture other participants;
* share recordings or images from the Programme without the prior written permission of IDAS.
Any unauthorised recording may be treated as a breach of these Terms and Conditions and the Code of Conduct.
9. Assessments and Achievement
9.1 The Programme leads to an Ofqual-regulated qualification awarded through OCN London.
9.2 Achievement of the qualification is not based on attendance alone.
9.3 To achieve the qualification, Learners must successfully complete all required assessments and demonstrate that they have met the assessment criteria.
9.4 Assessment submission dates will be published during the Programme.
9.5 Learners are responsible for ensuring assessments are submitted by the published deadlines.
9.6 IDAS will provide guidance and feedback to support Learners throughout the assessment process.
9.7 Work will only be assessed where it has been submitted in accordance with Programme requirements.
9.8 Learners will not achieve the qualification until all required assessment criteria have been met.
9.9 Certificates will only be issued following:
* successful completion of all required assessments;
* completion of internal quality assurance procedures;
* approval by OCN London.
Extensions
9.10 Extensions to assessment deadlines are not routinely granted.
9.11 Requests for an extension must:
* be made before the submission deadline wherever reasonably possible;
* explain the exceptional circumstances;
* include supporting evidence where requested.
9.12 Approval of an extension is entirely at the discretion of the Centre Lead.
Resubmissions
9.13 Where assessment criteria have not yet been met, Learners may be given opportunities to improve and resubmit their work.
9.14 The number and timing of resubmission opportunities will be determined by IDAS, taking account of the requirements of OCN London and the progress of the Learner.
9.15 Learners are expected to respond positively to assessor feedback and submit revised work within the timescales provided.
10. Academic Integrity
10.1 All work submitted for assessment must be the Learner’s own.
10.2 Learners must not:
* plagiarise the work of another person;
* copy another learner’s work;
* submit work completed by another individual;
* falsify evidence;
* knowingly submit inaccurate or misleading information.
10.3 IDAS takes academic integrity seriously and will investigate suspected malpractice in accordance with its policies and the requirements of OCN London.
10.4 Confirmed malpractice may result in:
* assessment decisions being withdrawn;
* referral to OCN London;
* withdrawal from the Programme;
* non-achievement of the qualification.
Use of Artificial Intelligence (AI)
10.5 IDAS recognises that artificial intelligence tools are increasingly used to support learning.
10.6 Learners may use AI tools to support activities such as:
* brainstorming ideas;
* improving grammar or spelling;
* organising notes;
* planning written work.
10.7 AI tools must not be used to generate assessment responses that are submitted as the Learner’s own work. Learners may be asked to declare whether AI has been used in preparing assessed work.
10.8 Learners remain fully responsible for ensuring that all submitted work accurately reflects their own knowledge, understanding and competence.
10.9 IDAS may require a Learner to explain or demonstrate their understanding of any submitted work where concerns arise regarding authenticity.
10.10 Where misuse of AI is identified, this may be treated as academic malpractice.
11. Learner Responsibilities
Throughout the Programme, Learners are expected to:
* participate professionally in all learning activities;
* complete independent study and assessment work;
* meet published deadlines wherever possible;
* communicate promptly if difficulties arise;
* treat fellow learners, trainers and guest speakers with courtesy and respect;
* contribute to maintaining a safe and supportive learning environment;
* follow any reasonable instructions given by IDAS staff.
Learners are responsible for ensuring that their contact details remain accurate throughout the Programme.
12. Code of Conduct
IDAS is committed to providing a professional, inclusive and trauma-informed learning environment.
All Learners are expected to behave in a manner that supports the safety, dignity and learning of others.
Learners must not engage in behaviour including, but not limited to:
* bullying;
* harassment;
* intimidation;
* discrimination;
* abusive, threatening or offensive behaviour;
* persistent disruption of teaching sessions;
* behaviour that compromises the safety or wellbeing of others;
* repeated failure to follow reasonable instructions from Programme staff;
* unauthorised recording of sessions;
* sharing confidential information obtained during the Programme.
Learners are expected to contribute constructively to discussions, recognising that topics explored during the Programme may involve sensitive personal and professional experiences.
Where concerns arise regarding a Learner’s conduct, IDAS will normally seek to resolve the matter informally in the first instance where appropriate.
However, where behaviour is serious, repeated, or presents a risk to others or to the integrity of the Programme, IDAS reserves the right to:
* issue a formal warning;
* impose reasonable conditions on continued participation;
* suspend the Learner while concerns are investigated; or
* remove the Learner permanently from the Programme.
Removal from the Programme due to misconduct or breach of this Code of Conduct will not entitle the Customer or Learner to any refund.
IDAS’s decision regarding continued participation in the Programme shall be final, subject to any applicable complaints or appeals procedures.
Fitness to Participate
IDAS is committed to supporting Learners to complete the Programme wherever reasonably possible. However, there may be exceptional circumstances where a Learner is unable to participate safely or effectively, or where their continued participation presents a significant risk to themselves, other Learners, staff or the integrity of the Programme.
Where this occurs, IDAS may temporarily suspend or permanently withdraw the Learner from the Programme after considering the individual circumstances and any appropriate support or reasonable adjustments.
Where a Learner is withdrawn under this clause, the provisions relating to refunds and deferrals set out in these Terms and Conditions will apply.
13. Confidentiality
13.1 The Programme encourages discussion of professional practice, case studies and learning from experience. Learners are expected to contribute in a respectful and professional manner.
13.2 Learners must treat information shared during the Programme as confidential unless there is a legal or professional duty to disclose it.
13.3 Where real cases are discussed, Learners must ensure that all information is appropriately anonymised and that individuals cannot be identified.
13.4 Programme discussions, personal experiences shared by participants and information relating to other Learners must not be disclosed outside the learning environment without the express permission of the individual concerned.
13.5 Nothing in this section prevents a Learner from making a safeguarding disclosure or sharing information where required by law, professional duty or organisational safeguarding procedures.
13.6 The duty of confidentiality continues after the Learner has completed or left the Programme.
14. Safeguarding and Wellbeing
14.1 The Programme explores domestic abuse and related topics that some Learners may find emotionally challenging or distressing.
14.2 IDAS is committed to providing a professional, inclusive and trauma-informed learning environment in which Learners are treated with dignity, respect and compassion.
14.3 Learners are encouraged to monitor their own wellbeing throughout the Programme and to seek appropriate support where required.
14.4 The Programme is an educational programme and is not intended to provide therapeutic support or advocacy for individual Learners.
14.5 Where a Learner makes a safeguarding disclosure or where IDAS becomes aware of information indicating that a person may be at risk of harm, IDAS may take appropriate action in accordance with its safeguarding policies and legal responsibilities.
14.6 Where appropriate, IDAS may signpost Learners to internal or external sources of support.
15. Programme Materials and Intellectual Property
15.1 All Programme Materials remain the intellectual property of IDAS unless otherwise stated.
15.2 Programme Materials are supplied solely for the personal learning and professional development of the registered Learner.
15.3 Learners must not, without the prior written permission of IDAS:
* copy, reproduce or distribute Programme Materials;

* sell, licence or otherwise commercially exploit Programme Materials.
15.4 Programme Materials must not be uploaded to artificial intelligence tools or language models for analysis, summarisation, reproduction or content generation without the prior written permission of IDAS.
15.5 Nothing in these Terms prevents a Learner from making reasonable personal study notes based on their own learning.
16. Certification
16.1 The Programme leads to an Ofqual-regulated qualification awarded by OCN London.
16.2 Achievement of the qualification is dependent upon the Learner successfully meeting all assessment requirements.
16.3 IDAS cannot guarantee that a Learner will achieve the qualification.
16.4 Certificates will only be issued after:
* all assessment requirements have been successfully completed;
* internal quality assurance processes have been completed;
* OCN London has approved the achievement.
16.5 Where a Learner does not meet the required assessment standards, a certificate will not be issued.
16.6 Requests for replacement certificates will be managed in accordance with the procedures and fees of OCN London.
16.7 Successful completion of the qualification demonstrates that the Learner has met the required assessment standards for the qualification. It does not guarantee employment, appointment to any particular role, registration with any professional body, or continued employment with an existing employer.
17. Complaints, Appeals and Academic Malpractice
17.1 IDAS is committed to delivering high-quality training and fair assessment practices.
17.2 Learners have the right to raise concerns or complaints regarding the delivery of the Programme.

18.3 Learners are expected to contribute to an environment in which differing experiences, identities and perspectives are respected.
18.4 Where a Learner requires reasonable adjustments to enable them to participate fully in the Programme or assessment process, they should notify IDAS as early as possible. While IDAS will make reasonable efforts to support Learners, adjustments cannot always be implemented immediately if they are requested at short notice.
19. Data Protection
19.1 IDAS processes personal information in accordance with the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018, and the IDAS Privacy Notice.
19.2 By enrolling on the Programme, the Customer and Learner acknowledge that IDAS will collect and process personal information for purposes including:
